Program Associate, Natural Sciences

Position Summary

The Program Associate, Natural Sciences will assist in the full life cycle of the grant-making process and provide administrative support for the Natural Sciences department.

Areas of Responsibility

  • Assist with all aspects of the Proposal Intake and Proposal Review process, from submission through grant award, including preparing documents for Proposal Review by the Foundation President and/or Board of Trustees.
  • Review Online Funding Inquiries and invited Full Proposals and track grantee progress.
  • Oversee all aspects of the External Review process for proposals submitted within the
    Program Associate’s Funding Area.
  • Support all general office administrative duties related to the Department of Natural
    Sciences, including departmental correspondence, budgets, expenses, files, meetings,
    travel and other logistics.
  • Respond to inquiries from Applicants and Project Leaders.
  • Draft correspondence as needed.
  • Track grantee documents, including grantee reports and financial reports, and make
    recommendations to the Vice President and Program Officer on scheduled payments.
  • Assist the Vice President and Program Officer in reviewing grantee-submitted reports
  • Interface with Grantees and Colleagues to facilitate changes to grants during their life.
  • Support all aspects of the department’s internally developed funding initiatives.

Criteria & Relevant Skills

  • At least 3 years of relevant professional experience; preferably in a foundation or academic setting.
  • Bachelor’s Degree required; degree in the natural sciences or a related field is desirable.
  • Excellent organizational, analytical and problem-solving skills.
  • Professional experience in an administrative office setting preferred.
  • Skilled oral and written communicator able to work with professionals across internal
    departments, including communicating with external scholars.
  • Strong attention to detail.
  • Ability to take initiative for new projects and work independently.
  • A team player who is able to juggle multiple tasks.
  • Demonstrated competence in Microsoft Office, Microsoft Excel, and Microsoft PowerPoint
  • Knowledge of the grant making process desirable but not required.
  • Strong personal interest in the Foundation’s mission is essential.
